Medical Office Administrative Assistant

Four Squared Solutions is seeking a Medical Office Administrative Assistant for an opportunity located in the Fern Park, Florida area.

Our Client is a compassionate and patient-focused outpatient psychiatry practice dedicated to supporting individuals mental health and well-being. Our team provides a range of services including psychiatric evaluations, medication management, and ongoing treatment for mood, anxiety, and behavioral conditions. We are currently seeking a reliable and detail-oriented Part-Time Medical Office Administrative Assistant to join our team and help ensure a calm, professional, and organized front office experience.

Position Overview:

The Administrative Assistant will serve as the first point of contact for patients and will manage a variety of office and clerical tasks. This role requires discretion, empathy, and strong organizational skills, particularly given the sensitive nature of mental health services.

Key Responsibilities:

• Greet patients in a welcoming, respectful, and confidential manner
• Answer incoming calls, respond to inquiries, and direct messages appropriately
• Schedule, confirm, and manage appointments using electronic health records (EHR)
• Verify insurance information and assist patients with billing or payment questions
• Handle patient intake forms and ensure accuracy of documentation
• Maintain compliance with HIPAA and confidentiality regulations
• Communicate effectively with providers and patients regarding follow-ups, referrals, and documentation needs
• Prepare and organize forms, reports, and administrative correspondence
• Perform general clerical duties: filing, scanning, faxing, mailing
• Assist in maintaining an organized and supportive front office environment

Qualifications:

• High school diploma or equivalent (Associate's degree or medical administrative certification preferred)
• Prior experience in a mental health or medical office setting highly preferred
• Familiarity with psychiatric terminology and sensitivity to mental health issues
• Proficiency in using EHR software (e.g., SimplePractice, Athenahealth, Kareo)
• Strong communication and interpersonal skills
• Ability to maintain patient confidentiality and demonstrate empathy and professionalism
• Proficient with Microsoft Office Suite and basic computer skills
• Highly organized and able to multitask in a calm, efficient manner
